Integrating the AI agent with your existing booking system

The agent does not store this information in a parallel system. It transmits it directly to your institution's existing booking system. Transmission is automatic. The agent sends data to the external system and receives in return the official confirmation number your system generates. This number is then communicated to the visitor during the call. From the visitor's perspective, the experience is transparent: they call, they book, they receive their confirmation number. From your team's perspective, the booking appears in the usual system, with the same formats, the same references, the same data.
Configuring this connection is done in the dashboard. You enter two pieces of information: your booking system's address and the access key that allows the agent to communicate with it. This information is provided by your booking software supplier. No programming is needed on your side. No developer needs to intervene at your institution. The connection is established in a few minutes and can be tested immediately by simulating a booking call.
It is natural to wonder what happens when the external booking system does not respond. Computer systems experience service interruptions, planned maintenance and temporary slowdowns. The AI agent handles this situation with a fallback mechanism. If the external system does not confirm the booking within the allotted time, the agent generates a local confirmation number in your institution's standardised format. This number is communicated to the visitor, and the booking is recorded in the agent's dashboard with an indicator signalling it was not confirmed by the external system. Your team can then, the following morning or as soon as the system resumes, manually transfer this booking into the usual software. No booking is lost. The visitor leaves with a confirmation number, and your team has all the data needed to finalise registration.
Integration with the existing booking system brings an additional benefit many institutions do not immediately perceive: it extends booking hours to 24 hours a day. Before the AI agent, telephone bookings could only be made during switchboard opening hours, typically eight hours per day, five days per week. With the agent, a tourist calling at 11 PM on a Saturday evening can book their visit for the following morning. The booking is transmitted to the external system in real time, and the slot is immediately blocked. When your team opens the booking software on Monday morning, they discover bookings made throughout the weekend, bookings that would never have existed without the agent.
A scenario that concerns some directors is double booking. If the agent takes a booking at 2 PM for a guided tour slot accepting only 25 people, and that slot is already full in the external system, what happens? The agent queries the booking system before confirming. If the slot is full, the external system signals this, and the agent offers the visitor another available slot. There is no risk of overbooking, precisely because the agent does not operate in isolation: it communicates with the external system in real time and respects its capacity constraints.
The question of compatibility also arises. Your institution may use booking software developed specifically for the museum sector. Or general-purpose software adapted to your needs. Or even an in-house system developed by your IT department. The connection between the AI agent and your system relies on a standard protocol that the vast majority of modern booking software natively supports. If your software can receive booking requests from an external application, it can receive those from the AI agent. In the rare case where your system does not support this protocol, adaptation is possible, but it falls to your software supplier, not your institution.
Integration is not limited to visit bookings. The same principles apply to guided tour bookings, accounting for desired language, group size and standard duration. They apply to workshop and special event bookings. Each booking type follows the same process: the agent collects data, transmits it to the external system, receives confirmation, and communicates the number to the visitor.
The impact on internal processes is minimal. Your team continues using the booking software they know. Bookings made by the agent appear in the same way as those made by the receptionist. The only difference is that some bookings were made at 2 AM or in Mandarin. Your team does not need to learn new software or modify their working habits. The booking manager continues managing their schedule as before, with a booking volume that increases because the agent converts into actual bookings calls that previously went unanswered.
A final point concerns booking data security. Information transmitted between the agent and your booking system is protected in transit. Visitors' personal data, including name, telephone and email, is processed in compliance with the General Data Protection Regulation. Each institution has its own isolated space, and it is technically impossible for one institution to access another's booking data. Compliance with the EU AI Act, entering force in August 2026, is ensured through transparency and traceability mechanisms: every booking made by the agent is accompanied by a complete conversation transcript, accessible in the dashboard.
Integrating the AI agent with your existing booking system is not a technical constraint to overcome. It is a bridge allowing artificial intelligence to insert itself into your existing processes without disrupting them. Your booking system continues functioning exactly as before. The agent simply adds a new booking channel, available 24 hours a day, in 15 languages, capable of handling five calls simultaneously.
